Enable Guest Access

Global Guest Facilitation

Unverified users (users who are yet to connect their Jira account with Troopr) can now create and update (comment and change status) on Jira issues using this feature. The administrator can create a Jira service account and use that service account for guest facilitation at workspace level. The unverified users will have permissions similar to the Jira service account.

Setup

The administrator can set up global guest facilitation by following the steps mentioned below:

Step 1: Go to Troopr webapp > Projects (Jira) > Connection

Step 2: Under the Global Guest Facilitation section > Click Authorize

👉 Any comment posted by guest users on threads, will be added using Facilitator's Account on behalf of the guest user. 👉 Users with verified accounts will continue to use their own accounts for Jira activities in the channel. Guest facilitation will be fallback for unverified users only. 👉Channel level default will be given priority. If there are no channel level defaults for guest facilitation, then the global guest facilitation preference would be taken into account.

Guest user restrictions

Guest user restriction feature would be available only if Global Guest facilitation is authorized. In guest user restrictions, administrators can allow only selected users to have access to Jira projects or block selected users in the workspace to take no action on Jira projects. The users who are blocked will not be able to create and update (comment and change status) on Jira issues. Likewise, only the users who are allowed, would have all privileges to create and update (comment and change status) on Jira issues.

Steps to customize:

Step 1: Go to Troopr web app https://app.troopr.io using Slack SSO.

Step 2: Click on ‘Project’ on the left side panel and choose ‘Connections’.

Step 3: Scroll down to ‘ Global guest facilitation’. 

Step 4: Enable ‘Guest user restrictions’

Step 5: Click on ‘Edit’, choose between ‘Block’ or ‘Allow’ selected users

Step 6: Choose the users from the dropdown and save. 

Guest project restrictions

Administrators can allow or block Jira projects for use by guests by accessing this feature. By using this feature you can decide what project(s) issues can be used by guest users present in the channel. If certain project(s) are blocked, then guest users cannot view or take any action on those Jira project(s). If certain project(s) are allowed, guest users can create issues in only those project(s).

Guest bot restrictions

Similar to guest user and project restrictions, Troopr supports ‘Guest bot restrictions’. Administrators can allow or block guest access to specific bots using this feature.

Step 3: Scroll down to ‘ Global guest facilitation’. 

Step 4: Enable ‘Guest bots restrictions’

Step 5: Click on ‘Edit’, choose between ‘Block’ or ‘Allow’ users

Step 6: Choose the Bot users from the dropdown and save. 

Jira issue unfurls

When a Jira issue is mentioned in Slack by a user who hasn't verified their Jira account, the issue preview will be generated using the facilitator's account if issue preview is enabled.

Step 2: Click on ‘Project’ on the left side panel and choose ‘Connections’.

Step 3: Scroll down to ‘ Global guest facilitation’.
